Cancellation policy
Custom message Custom policy: a) Meeting Function & Conference If the customer cancels a meeting function or Conference, the following charges may be imposed at the University’s discretion: i) Cancellations 6 – 4 weeks prior to the start date, 25% of the estimated total account for the event less VAT; ii) Cancellations 4 - 2 weeks prior to the start date, 50% of the estimated total account for the event less VAT; iii) Cancellations 2 – 1 week prior to the start date, 75% of the estimated total account for the event less VAT; iv) Less than one week prior to the start date, or failing to attend, the charge will be 100% of the estimated total account for the event less VAT. b) Special events An enquiry date for a special event function and Conferences will be held as provisional for a maximum of two weeks within which time a deposit equal to the venue hire will be required to be paid to confirm the reservation. If the customer cancels a wedding reception and/or ceremony, the following charges may be imposed at the University’s discretion: v) Cancellations 36 - 24 weeks prior to the date, 50% of the estimated total account for the event less VAT; vi) Cancellations 24 – 4 weeks prior to the date, 75% of the estimated total account for the event less VAT; vii) Cancellations less than 4 weeks prior to the date, 100% of the estimated total account for the event less VAT. The University will endeavour to re-let the allocated function space and a reduction of the cancellation charge may be made, at the University’s discretion, if the University is successful in re-letting part or all of the allocated space. c) Hospitality Cancellation i) Any cancellation of hospitality requests within 24 hours of service delivery will result in a 100% charge (only for food) being applied to the customer. ii) Any cancellation of hospitality beverage requests within 8 hours of service delivery will result in a 100% charge being applied to the customer. d) Deposits Deposits made to the University are to be set against monies due or to become due from a customer in respect of accommodation or functions booked. Deposits are not returnable by the University under any circumstances in the event of cancellation by the customer. e) Accommodation Cancellation policies are clearly shown on reservation booking contracts.
